Job Title: Medical Front Desk

Salary: $23-24 per hour DOE

Openings: 1

Position Purpose: Families Together of Orange County is seeking Medical Front Desk staff. The proper candidate must have outstanding customer service skills and be able to adapt to working with a variety of individuals from the surrounding community. The primary job function is to provide high-quality customer service to our members while demonstrating our core values.

Core Duties and responsibilities include but are not limited to:

  1. Greet all patients as they arrive.
  2. Warmly greet all patients and visitors as they arrive.
  3. Maintain contact when communicating.
  4. Respect everyone regardless of background or socio-economic status.
  5. Communicate with clients as needed.
  6. Verifies patient information by interviewing the patient and confirming the purpose of the visit.
  7. Secures patient information and maintain patient confidentiality by completing and safeguarding medical records and other patient information.
  8. Verify insurance eligibility and collect co-pays, deductibles, or balances based on patients’ insurance.
  9. Apply sliding fee scale based on process flow.
  10. Ensures best practices are followed as they relate to all areas related to registration, check-in and check-out, participating in self monitoring/auditing and addressing problem areas timely.
  11. Maintain up-to-date patient records by scanning, filing, and updating information as needed.
  12. Ensure all patient forms are completed accurately and entered the system.
  13. Prepare and organize patient charts for daily appointments.
  14. Optimizes patients' satisfaction, provider time, and treatment room utilization while the patients are in the practice AND uses best practices while scheduling ensuring adherence to published scheduling guidelines.
  15. Keep patient appointments on schedule by notifying provider of patient's arrival; reviewing service delivery compared to schedule; reminding provider and/or care team of service delays, escalating to management when the delay exceeds an acceptable delay time (i.e., greater than 15 minutes).
  16. Maintains a safe, secure, and healthy work environment by establishing and following standards and procedures and complying with legal regulations.
  17. Communicate effectively with clinical staff regarding patient flow and scheduling changes.
  18. Maintain cleanliness and order in the front office area.
  19. Keeps equipment operating by following operating instructions; troubleshooting breakdowns; maintaining supplies; performing preventive maintenance; and calling for repairs.
  20. Other duties as assigned.

Education, Qualifications, and Experience:

  • Must have a high- energy/enthusiastic personality
  • Willing to work some Saturdays & Sundays
  • Bilingual Spanish Required
  • 2 years of Medical/healthcare office receptionist experience required
  • Must be computer literate

Work Schedule:

  • General work hours are Monday to Friday 9 a.m. to 6 p.m., however, start times will vary, depending on organizational, staffing, community, and patient needs.
  • Availability on Saturdays and Sundays is a requirement for this position. The selected candidate may be expected to work one to two Saturdays/Sundays per month, from 9:00 a.m. to 6:00 p.m.
  • Work schedules are subject to change based on organizational, staffing, community, and patient needs. As such, FTOC may need to modify work schedules to meet such needs.
  • Overtime may also occur due to organizational, staffing, community, and patient needs.
