Role Overview

FlatRate Moving is seeking a detail-oriented Import Export Coordinator to support our International Department. This role focuses on coordinating international shipments, managing documentation, and supporting day-to-day logistics operations. The ideal candidate is organized, responsive, and comfortable handling multiple time-sensitive tasks in a fast-paced environment.

Key Responsibilities

• Coordinate import and export operations, including tracking shipment departures, port arrivals, and delivery timelines

• Prepare and manage shipping documentation such as bills of lading, invoices, packing lists, and customs paperwork

• Communicate with freight forwarders, carriers, trucking companies, and customs brokers to ensure smooth shipment execution

• Monitor shipment status and proactively communicate updates, delays, or issues to internal teams and clients

• Maintain accurate shipment records and documentation in compliance with company policies and federal regulations

• Assist in resolving shipment issues and escalate complex matters to management when needed

• Support administrative tasks including data entry, reporting, and file management for international shipments

• Build and maintain relationships with international partners, agents, and vendors

Qualifications

• Proficiency in MS Office and Outlook

• Strong written and verbal communication skills

• Excellent organizational skills and attention to detail

• Ability to prioritize and manage multiple tasks in a fast-paced environment

• Ability to work independently with minimal supervision

• Positive attitude and team-oriented mindset

• Problem-solving ability and willingness to take initiative

• Experience in shipping, logistics, or transportation preferred but not required
